Information we may collect

Depending on how you contact us and the services we provide, we may collect and process information including:

  • your name;

  • address and postcode;

  • telephone number;

  • email address;

  • details supplied through website enquiry or support forms;

  • information about your property and project;

  • quotations, invoices and payment records;

  • correspondence with you;

  • details of equipment and systems installed at your property;

  • equipment serial numbers, model numbers and system identifiers;

  • programming, configuration and technical information relating to your system;

  • fault reports, service history and support records;

  • diagnostic information and system logs where required to provide technical support;

  • information supplied to us by a manufacturer, supplier or another contractor where relevant to your installation or support request.

We only collect information that is reasonably necessary for the services we provide.

We may use your personal information to:

  • respond to enquiries;

  • discuss and assess potential projects;

  • prepare quotations and proposals;

  • design and install smart-home, AV, networking, CCTV, lighting, heating, shading and related systems;

  • register, configure and commission equipment;

  • provide remote technical support where applicable;

  • maintain records of your installation and equipment;

  • arrange appointments and site visits;

  • communicate with you about work being carried out;

  • comply with legal, regulatory, accounting and tax requirements;

  • protect our business, systems and customers against misuse or fraud.

We do not currently use customer information for general marketing emails or newsletters.

Smart-home and technical system information

Providing smart-home support sometimes requires us to access technical information about systems installed in your property.

This may include equipment identifiers, software versions, network information, programming information, diagnostic logs, system status and other information necessary to diagnose, maintain or support the installation.

Where remote access is available, we use it only where necessary to provide the service or support you have requested or to maintain systems we are responsible for supporting.

If access to CCTV or security-related information is required for a specific support issue, we will only access what is necessary to investigate or resolve that issue.

Our lawful basis for using your information

UK data protection law requires us to have a lawful basis for processing personal information.

Depending on the circumstances, we rely on:

Contract — where processing is necessary to provide a quotation, enter into an agreement with you, carry out installation work or provide support and maintenance.

Legitimate interests — where it is reasonably necessary for the operation of our business, for example maintaining customer and system records, providing technical support, improving reliability, protecting our business and managing customer relationships.

Legal obligation — where we must retain or process information to comply with legal, accounting, tax or regulatory requirements.

Consent — where consent is specifically required, for example where you have agreed to particular information being provided to a manufacturer or another third party in circumstances where another lawful basis does not apply.

Where we rely on legitimate interests, we consider whether those interests are balanced against your privacy rights.

Who we may share information with

We do not sell your personal information.

Where necessary to provide our services, we may share limited information with:

  • equipment manufacturers;

  • distributors and suppliers;

  • software and cloud-platform providers used by installed systems;

  • subcontractors or specialist contractors involved in your project;

  • IT, website, email and business-service providers;

  • professional advisers such as accountants;

  • government authorities or regulators where legally required.

For example, information may sometimes need to be supplied to manufacturers such as Control4 or other technology providers to register equipment, obtain technical support, process warranty claims or resolve system issues.

Where information is shared with a manufacturer or supplier specifically in relation to your system or support request, we will only provide information that is reasonably necessary.

Where appropriate, we will obtain your permission before supplying personal information to a manufacturer or third party for support purposes.

International data transfers

Some technology manufacturers, cloud services or service providers may store or process information outside the United Kingdom.

Where this results in an international transfer of personal information, the transfer must be covered by an appropriate legal mechanism, such as UK adequacy regulations, approved contractual safeguards or another permitted transfer mechanism.

We do not claim that all information is stored exclusively within the UK because some of the technology platforms used within modern smart-home systems operate internationally.

How long we keep your information

We keep personal information only for as long as it is reasonably required for the purpose for which it was collected.

Our general retention approach is:

Enquiries that do not become customers

We normally retain enquiry correspondence and related information for up to 24 months.

Customers and supported systems

Where we have installed or continue to support a system, we normally retain relevant customer, installation, equipment and technical records for the period during which the system remains in service with us, and for up to 2 years afterwards.

This allows us to provide effective support and retain a useful history of the installation.

Systems where the current status is unknown

Where we have not heard from a customer for an extended period and do not know whether an installation remains in service, records will normally be reviewed after 5 years without contact and deleted where there is no continuing reason to retain them.

Financial and legal records

Some records may need to be retained for longer where required by law, taxation, accounting, warranty, insurance or legal requirements.

We periodically review retained information and securely delete information that is no longer required.

How we protect your information

We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, alteration or misuse.

Access to customer and technical information is limited to people who require it to carry out their work.

Where third-party technology platforms are used, their own security arrangements and privacy practices may also apply.

No electronic system can be guaranteed to be completely secure, but we take reasonable steps appropriate to the nature of the information we hold.

Website forms

When you complete a form on our website, the information you provide is used to respond to your enquiry or support request.

The information may be processed through Wix and other website services used to operate the site and deliver form notifications.

We do not use website enquiry details for unrelated marketing purposes.

Where we obtain information from

Most personal information we hold is provided directly by you.

We may also receive relevant information from:

  • another member of your household;

  • architects, designers, builders or contractors involved in your project;

  • previous installers;

  • manufacturers, distributors or suppliers;

  • technology platforms associated with your installed system.

Where we obtain personal information from another source, we will only use it where there is a legitimate reason connected with the services we provide.

Your rights

Depending on the circumstances, UK data protection law gives you rights including the right to:

  • ask for a copy of the personal information we hold about you;

  • ask us to correct inaccurate information;

  • ask us to delete information in certain circumstances;

  • ask us to restrict how information is used;

  • object to certain uses of your information;

  • request transfer of certain information to another organisation where applicable;

  • withdraw consent where processing is based on consent.

These rights do not apply in every circumstance, and we may sometimes be required to retain information despite a request for deletion.

To exercise any of these rights, please contact: info@n-tegra.co.uk

We may need to verify your identity before responding to a request.

Automated decision-making

We do not use personal information to make automated decisions about customers that produce legal or similarly significant effects.

Complaints

If you have any concerns about how we use your personal information, please contact us first and we will try to resolve the matter.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection.
